Delete Incorrect Email Address from Outlook
Outlook stores an address list of contacts by default, which can be managed from ‘Contacts’ in the Navigation Pane (or by pressing CNTRL-J). This includes email addresses as well as phone numbers and postal addresses. You should always remove unwanted entries from this list because they clog up your contact list with irrelevant information, and they could also provide a route through to your computer if someone maliciously adds themselves to your contact list. Deleting items in Outlook is simple:
Right-click or press CTRL and click on the item you want to delete to select it. Press the DELETE key. The entry is now removed permanently from your contact list. If you no longer require any of the remaining entries, you can also delete them by selecting the entries you don’t want and pressing the DELETE key.
You may have to confirm this action, but if you’re sure that there are no items of contact information that you want to keep (eg for forwarding purposes) then you should proceed.
How do I stop receiving emails from someone? Is there a way to unsubscribe in Outlook?
When someone sends you an email message they will often include links that allow you to unsubscribe from their mailing list. This is absolutely essential because it’s your only option for telling people not to send any more emails after a certain date. You will usually find subscription options when reading through the body of the message or at the end of it in the footer.
Outlook also has an unsubscribe option built-in which will stop messages from being delivered from a certain sender – you may have to open up or forward the email message first and click directly on any links that appear there. In Outlook 2007 & 2010 go to ‘File’ > ‘Switch To’ > ‘Unsubscribe’. In older versions of Outlook (2002/XP) find the recipient’s email address in your Address Book, right-click and select ‘Add Sender To Blocked Senders List, then repeat this for all addresses from that person you want to block.
How do I stop receiving spam?
Spam is an unwanted nuisance. Spammers use unsolicited emails to sell dubious products, obtain your personal information to sell to other companies, or just try and waste your time (although some spam emails can contain malware as well). Fortunately, there are programs out there that scan the internet looking for new email addresses and adding them to a database of safe recipients; this isn’t an infallible method but most reputable companies have set up filters that will stop spam messages from getting through.
If you’re worried about being spammed you should also make sure that your Outlook Address Book is not publically available or accessible outside of your computer. This will make it much harder for others to add themselves without your knowledge, although they may still manage it if you don’t regularly consult this list.

How do I check what my password is?
This is a common problem. In Outlook 2007 & 2010 simply go to ‘File’ > ‘Account Settings’ and select your email account, choosing the password tab. Every time you set up a new email account this option will also appear on the main window under ‘Tools’, usually when setting up an Internet Account. If you’re using an older version of Outlook (2002/XP) then open your Address Book, find the entry for your email address, click CNTRL-I to edit it, and choose the Password tab at the bottom of that window.
If you have forgotten what your password was originally or if there are no options available that allow you to view or change it then access Tools>Password Reset Wizard: Advanced, where you will need to provide various details and answers in order for Microsoft to reset your password.
How do I block a sender?
If you receive emails from someone that makes you uncomfortable or if they are broken links leading nowhere important then you can stop them from being delivered directly into your inbox by using the Blocked Senders list. This stops any messages coming through from that person, although it won’t affect any copies which may have been stored in Outlook’s Sent Items folder: see below. Longer email addresses may cause problems while composing an email message, too, because a lot of recipients with multiple names and long extensions may be auto-replaced with their web address instead (this is true even with mailto links). For this reason, it might be worth creating a shortcut in your Address Book for the email address you want to block, but without the full extension. So if an email appears as [email protected] this would be better written as just someone or even just somewhere.
How do I delete emails?
This is fairly straightforward: open up the message and choose File>Delete, select Delete as per usual, and remove everything (including the folder they were delivered to). Outlook automatically removes any duplicate messages that may have arrived while you were reading them – so you can always go back later and read them again if needed. In later versions of Outlook (2007 onwards), there is also a ‘Purge’ option available under Tools which will automatically delete messages after a certain number of days. This is particularly useful for people who have to save emails on their computer due to location or security since some companies automatically delete email accounts after a set period of time when an employee leaves the company (or if they forget).
How do I send extra copies?
If you’re sending an email to more than one person then it’s not uncommon for people to want further copies sent directly to them – this can be achieved by using a short cut address in the ‘To:’ field: such as [email protected] which will deliver identical copies to everyone mentioned in the main recipient’s list (such as [email protected]). The reply-to field is also worth using if you want the email to be sent directly back to you from every recipient, otherwise, any replies will be sent back to the original sender. Both fields are also ideal for including a copy of forwarded messages so they can be answered by each recipient individually.
How do I save emails as individual files?
This is easy: just open up the message and choose Message>Save As>MSG File (this applies to all versions of Outlook). This enables you to save selected emails in your chosen format without actually deleting them from their source folder, which means that it’s possible to access and read older copies again if needed or look at all attachments once more. It may also be worth creating shortcuts within your Address Book with those file names instead of just referencing the original email address.
What if I want to include attachments in my email?
Outlook makes it extremely easy to attach files: choose Message>Attach File, browse to where the file is stored and select it (you can also drag it into the appropriate area or click on Attach without selecting anything). You’ll then be able to view all attachments (and change their details) within your message ready for you to send them off at any time. In some cases, additional security may be necessary for these messages, which can be activated by choosing Options>Security Settings… from a blank message window. Here you should enter passwords for both viewing and opening any attachments – although this won’t stop anything malicious being sent through your account through other means.
What if I don’t want to send any attachments?
This is also quite simple, although you will need to be using Outlook 2007 or above for this feature: simply choose Options>Send Without Attachments from the top of your message window and all files in that message will be removed when it’s sent. You can then add them manually afterward if required, but bear in mind that you cannot remove attachments after they have been sent – so only do this once everything is ready to go!
