In order to set up Answer Calls with a greeting, you first need to select the radio button for your preferred method of answering calls. You may use a voicemail box which is integrated as part of your RingCentral Office account or you may choose to specify an external email address (a.k.a., “Gmail Voicemail”) where voicemails will be delivered via an email link that can then be used by any application which supports HTML-formatted messages, including Google Voice and iPhone Mail. If you are in a call and an incoming call arrives, the person calling will hear your greeting followed by an announcement that your line is busy or unavailable. The caller can leave a message for you on this voicemail box, which anyone who shares that business line will be able to access via RingCentral Office Online & Mobile, as well as through any telephones which have been configured to use it. If you would like your greeting to play before these announcements, please set up “Answer Calls with Greeting” under Preferences > Call Settings > Advanced Options of whichever user’s profile you wish to edit. You may set up a custom voicemail greeting by visiting the Voice Mail tab of each of your business users on the My Users page > click Edit next to whichever user you would like to change > select Change Greeting from the menu which appears. This process is very similar to updating an email signature with Gmail or Yahoo! Mail.
Your extension number is not changeable and will remain constant throughout your use of RingCentral Office. As for your password, you may visit your My Profile page by clicking on Account Settings at the top of any page and changing it there. Please be aware that this option is likely to take effect immediately upon setting the new password, so make sure you have access to a computer in every location where people are calling in. You may select one of the supplied rings back tones, or record your own by clicking Change Ringback Tone on the login screen and entering your name in [email protected] format, replacing domain with either localhost (for LAN) or _extSIP for extSIP servers (tested with 2.1).
