I know how frustrating it can be when there are emails that won’t go away. During my time in the IT industry, I’ve talked with many customers who shared their frustrations about not being able to delete emails from their Outlook account. It is very common that an email will get flagged as read or unread even though it has been deleted long ago and they are unable to remove them from the list of emails in the inbox. This problem typically occurs because of folder settings; if the folder is configured to not allow items to be deleted, then the email may just sit there in limbo even after you delete it. Sometimes these emails will return if “reconnect” themselves with your mail account’s SMTP settings, but this isn’t guaranteed. Unfortunately, there is currently no way to completely remove these emails from your Outlook mailbox without some manual intervention on your part.

Therefore I propose the following procedure:

1) Go into any folders that might have unread/flagged emails (e.g., inbox or other primary folder). You can do this by clicking on the Home tab and then Chats > Show Folder List (see image below), or by using keyboard shortcuts for access to specific folders; pressing CTRL+6 will give you access to your default folders like Inbox, Sent Items, Deleted Items, etc.

2) Ensure that there are some emails in this folder; if the folder is completely empty then you’ll need some email messages to work with (move some from another folder temporarily). You can either move an email or create one using a text editor like Notepad (for example) and save it under the name of “testemail.txt” – just remember where you saved it!

3) Select all of the emails in this folder by clicking CTRL+A on your keyboard. Right-click on any of the selected emails and choose Mark as Read . Now click No at the confirmation window that pops up asking you if you’re sure you want to mark the messages as read.

4) After you click No for the confirmation window, a new box will open asking how long you would like to keep these unread items marked in your inbox (see screenshot below). Click 5 days and then click OK . This will retain the emails in your inbox visible until they expire. It is very important that you select a date at least five days from today!

5) The next time your email client connects to receive mail, it’ll download all of the expired messages from the past five day period and delete them from your mailbox. Since these messages are no longer available on Outlook’s servers, they’ll simply get removed from your Outlook account entirely – problem solved! I recommend expiring messages for 5 days to give yourself some time to identify and remove any emails that you no longer desire.
